1. Introduction

These Terms and Conditions (“Terms”) govern the hire of vehicles from Lux Wedding Cars Ltd (“we”, “us”, “our”) and the use of our website www.luxweddingcars.uk (“the Website”). By submitting a booking or using the Website, you (“the Client” or “you”) agree to be bound by these Terms.

2. Vehicles and Services

All vehicles provided are chauffeur-driven. Self-drive or private hire is not available. Vehicles may be subcontracted only upon specific request by the Client and subject to availability.

3. Booking and Payment

Minimum Hire Period: 3 hours, starting from the first collection point, within a 50-mile radius of our office.

Hire Scope: Includes up to three locations and a total maximum of 30 miles. Additional miles are charged at £3.50 per mile. Additional hours are charged at £125 per hour.

Deposit: A non-refundable security deposit of £400 is required to reserve your booking. Booking is confirmed only once a chauffeur is assigned. If we are unable to confirm a chauffeur, your deposit will be refunded in full.

Quotations: A formal quotation will be sent to you after we receive your initial booking request. Approval of this quotation is required to confirm your booking. If declined, the deposit is not refundable.

Final Payment: The remaining balance is payable via debit or credit card 8 weeks prior to the event date.

  4. Cancellation and Refund Policy

The £400 deposit is non-refundable unless we are able to rebook the date within six months.
Full refunds will be issued if a driver fails to arrive due to incidents outside of our control (e.g. accident, breakdown) and a suitable replacement cannot be arranged.

Bookings cancelled after final payment may not be eligible for refund.

  5. Surcharges and Discounts

A 10% discount applies for bookings made Monday–Thursday (off-peak).

Multi-car hires receive a 10% discount.

Public Holiday bookings attract a 25% surcharge. Bookings for Christmas Day, Boxing Day, and New Year’s Day are charged at a premium rate, available on request.

  6. Conduct, Misuse and Liability

We reserve the right to refuse entry to our vehicles due to inappropriate behaviour, intoxication, or abuse.
Misconduct resulting in cancellation will incur the full hire fee.

Any damage caused through negligence or abuse will result in full charges to repair the vehicle.
Smoking, drug use, and alcohol consumption are not permitted inside the vehicles. Alcohol may be consumed outside only.

Children are welcome but must be seated safely. Clients are responsible for providing child seats where required.

  7. Delay and Overrun

If the hire exceeds the agreed 3-hour window due to lateness or no-show, additional time is charged at £125 per hour.

Should a delay in chauffeur arrival occur due to circumstances beyond our control, we will offer a full refund and endeavour to provide a replacement vehicle where possible.

  8. Insurance and Claims

We are fully insured up to £5 million for public liability.

Any claims must be submitted in writing within 7 days of the date of hire.

Complaints or concerns must be reported on the day of hire to our office or our 24/7 emergency number: 07411 228608. Failure to report on the day may affect the validity of any claim.

  9. Data Protection and Privacy

We collect personal information for the purpose of processing bookings. This includes data submitted via contact forms, Calendly, and Stripe.

We comply with the Data Protection Act 2018 and GDPR.

We use cookies to enhance website functionality and integrate our booking systems.

By submitting data via our site, you consent to its use in line with our Privacy Policy.

• 10. Website Use

All content on the Website is the property of Lux Wedding Cars Ltd and may not be copied, reproduced, or distributed without written consent.

You may not use the Website for any unlawful purpose or to solicit services in competition with us.
We reserve the right to amend or withdraw any part of the Website without notice.

  11. Payment Systems and Online Booking

Online bookings are processed through Stripe, and you agree to their terms of use when completing payment.
The £400 security deposit may be processed through the website as part of your booking.
